How to book with Wens Chalets

Booking a catered chalet is something to look forward to. At the same time, it is useful to know in advance how the booking process works. At Wens Chalets, you book directly with us. This means you have personal contact with our team, and we are happy to advise you on the chalet, destination and composition of your group. On this page, you can read step by step how booking with Wens Chalets works: from choosing a chalet to receiving your travel documents.

Step 1: Choose your chalet or destination

On our website, you will find our selection of catered chalets in Austria, France and Italy. You can search by destination, ski area, travel period, group size and preferences.

Do you already have a favourite destination or chalet in mind? Then you can go directly to the chalet page. Not sure yet which chalet best suits your group? We will be happy to advise you.

When choosing a chalet, it is useful to consider:

  • The number of people in your group;
  • The desired travel period;
  • The ski area;
  • The location of the chalet;
  • Available facilities;
  • Travel distance and accessibility;
  • Any children, dietary requirements or other special details.

Step 2: Check availability and price

On the chalet page, you can see the current availability and make a price calculation. The price depends on factors such as the chalet, travel period, number of guests, any children, discounts and extras.

All chalets have a minimum number of fully paying guests. This minimum number can be found on the page of the relevant chalet. Would you like to rent a chalet privately, but does your group not meet the minimum number of guests? Please feel free to contact us. In some cases, private use may still be possible, possibly with a surcharge. In other cases, a shared chalet may be an option.

Step 3: Send an enquiry

Have you found a suitable chalet? Then you can submit a quote request through our website. This is not yet a confirmed booking.

In your enquiry, please provide:

  • Your preferred chalet or destination;
  • The desired travel period;
  • The number of adults;
  • The number of children and their ages;
  • Any wishes or special details;
  • Your contact details.

After receiving your enquiry, we check availability and assess whether the chalet is a good match for your group.

Step 4: Receive personal advice or a suitable proposal

After your enquiry, you will receive a response from us. Sometimes we can immediately confirm that the desired chalet is available. In other cases, we will think along with you about an alternative chalet, another travel period or a suitable solution for your group.

We look beyond availability alone. For example, are you travelling with children, a group of friends, family or colleagues? Then aspects such as location, layout, accessibility and facilities may be important when making your choice.

Step 5: Confirm your booking

Would you like to secure the proposal? We will then confirm the booking in writing. You will receive a booking confirmation including the invoice from us.

The booking confirmation includes, among other things:

  • The booked chalet;
  • The travel period;
  • The number of guests;
  • The agreed price;
  • Any discounts or extras;
  • The payment information;
  • The conditions that apply to your booking.

Always check the confirmation carefully. Is anything incorrect, or do you still have questions? Please contact us as soon as possible.

Step 6: Pay the deposit and final payment

After confirming your booking, you usually pay a deposit of 25% of the total travel sum. A one-off administration fee of € 35.00 is also charged.

The final payment must be received by Wens Chalets no later than 8 weeks before the start of the trip. Are you booking within 8 weeks before departure? Then you pay the full travel sum in one payment.

The exact payment information and payment deadlines are stated in your booking confirmation or invoice.

Step 7: Provide practical information

In the period before departure, we will ask you to provide any practical information. This may include dietary requirements, allergies, arrival times, cots, extra packages or other special details.

You can provide this information up to two weeks before arrival. After this deadline, we cannot guarantee that we can still take all practical wishes into account. We prefer to receive the information well before departure, so we can properly prepare our chalet hosts.

Step 8: Receive your travel documents

Seven weeks before departure, you will receive the travel documents from us. These contain practical information about your specific chalet and stay.

The travel documents include, among other things:

  • The address of the chalet;
  • Local contact details;
  • Information about arrival and welcome;
  • Parking options;
  • Any route or arrival instructions;
  • Information about the first evening;
  • Practical arrangements for departure.

Please check this information carefully before you travel, so you know where to go and who to contact in case of questions or delays.

Step 9: Travel to the chalet

Then it is time to travel to your chalet. You travel independently to the destination. This can be by car, train or plane.

Most chalets are available from 16:00 on the day of arrival. On the day of departure, we ask you to leave the chalet by 10:00 at the latest.

Do you expect to arrive later than planned? Please inform the contact person listed in your travel documents in good time. This way, the chalet hosts or local team know approximately when to expect you.
